Stop Writing Every Follow-Up Email From Scratch

You just finished a meeting.

Now you have to send the “Great meeting with you today…” email. 😂

But here's the thing: if AI already has your meeting transcript, notes, or action items, why are you starting that email from scratch?

This is Day 3 of my 30 Days of AI Hacks I Use to Run My Business, and this one saves me from staring at a blank email trying to remember everything we discussed.

📩 THE GOAL:Let AI turn what actually happened in the meeting into a clear, accurate follow-up email.

Why I Use This

After a meeting, there are usually a few things the follow-up email needs to accomplish:

  • Thank them for the meeting

  • Recap the important points

  • Confirm what was decided

  • Clarify next steps

  • Identify anything I'm responsible for

  • Identify anything they're responsible for

  • Include deadlines or dates we discussed

  • Keep the conversation moving

Instead of manually rebuilding all of that, I give AI the meeting information and let it draft the email.

Then I review it before sending.

📋 Copy My Follow-Up Email Prompt

Using the meeting transcript, notes, or action plan below, draft a professional follow-up email. The email should:Thank the recipient for their time.Briefly recap the most important points discussed.Clearly state any decisions that were made.Identify agreed-upon next steps.Clarify who is responsible for each action item when that information is available.Include any deadlines, dates, or follow-up commitments that were specifically discussed.Mention any unresolved items that still require an answer or decision.End with a clear and natural next step.Keep the email concise, warm, professional, and easy to read.Do not invent decisions, deadlines, commitments, or details that were not included in the source material. If something important is unclear, flag it for me instead of making an assumption.Meeting transcript/notes:[PASTE HERE]

💚 Make It Sound Like YOU

This part matters.

AI can write the email, but that doesn't mean it should sound like a robot wrote it. 😂

After it creates the first draft, try:

Rewrite this in my natural communication style. Keep it professional, but conversational and warm. Avoid overly formal or generic corporate language. Keep all important details from the original draft.

Even better, give AI examples of emails you've written before so it has context for how you naturally communicate.

👀 My Favorite Accuracy Check

Before you send anything, ask:

Compare this email against the original meeting transcript or notes. Identify any statement, deadline, commitment, decision, or next step in the email that is not directly supported by the source material.

THIS is important.

We don't need AI confidently telling somebody:

“As discussed, I'll have that to you by Friday.”

And you NEVER said Friday. 😭

AI can help draft the communication.

You still verify the facts.

Use This With Day 2

If you used my Day 2 Meeting to Action Plan workflow, this gets even easier.

Now your meeting isn't just sitting in a transcript somewhere.

You're actually moving the work forward.

💡 ARMINA TIP

Don't just tell AI:

“Write a follow-up email.”

Give it the source material + the purpose + the tone + the required information.

That's the difference between getting a generic AI email and getting something you can actually use.
