Turn Your Meeting Into an Action Plan

Welcome! 👋🏽 This is Day 2 of Armina Consulting's 30 Days of 30-Second AI Hacks I Use to Run My Business.

A meeting summary is nice. But after the meeting, the real question is: WHAT ARE WE DOING? 😂

This setup helps you turn a meeting transcript into decisions, assignments, deadlines, follow-ups, and unresolved items you need to revisit.

Before You Start

You'll need a transcript or reliable notes from your meeting. Review the transcript before using it when accuracy matters, especially for names, dates, dollar amounts, commitments, or sensitive decisions.

ARMINA TIP: AI should organize what happened in the meeting, not make up what it thinks should have happened.

Copy This Prompt

📋 MEETING → ACTION PLAN PROMPT

I’m going to give you a transcript from a meeting. Turn it into a clear, practical post-meeting action plan.

Use only information supported by the transcript. Do not invent decisions, assignments, deadlines, names, or commitments.

Organize the output into:

  1. Quick Meeting Recap — Give me a concise summary of what the meeting was about.

  2. Key Decisions Made — List decisions that were actually made.

  3. Action Items — List each task that needs to be completed.

  4. Owner / Person Responsible — For each action item, identify who agreed to handle it. If no owner was assigned, write UNASSIGNED.

  5. Deadlines & Important Dates — Pull out every deadline, meeting date, event date, or time-sensitive commitment mentioned.

  6. Follow-Ups Needed — Identify calls, emails, documents, confirmations, approvals, or conversations that need to happen next.

  7. Unresolved Items — List questions, ideas, or decisions that were discussed but never resolved.

  8. What Needs Clarification — Flag anything that is unclear, contradictory, or missing important information.

  9. Next Meeting Prep — Based only on this meeting, list anything that should be ready before the next meeting.

At the end, give me a simple NEXT ACTIONS checklist in priority order.

If something was discussed but never officially decided, do not present it as a decision. If you are unsure, flag it for my review.

Make the Prompt Even Better

Add whichever instruction fits your meeting:

  • Team meeting: “Group action items by person responsible.”

  • Client meeting: “Separate what I owe the client from what the client owes me.”

  • Planning meeting: “Create a timeline from every date and dependency mentioned.”

  • Project meeting: “Separate completed, in-progress, blocked, and not-started work.”

  • Leadership meeting: “Flag decisions that still need approval.”

  • Long meeting: “Give me a 60-second executive summary before the detailed action plan.”

💡ARMINA TIP: If AI says someone agreed to do something, check the transcript before assigning it to them. A useful action plan is an accurate one.

Bonus: Turn It Into a Follow-Up Email

Once you've reviewed the action plan for accuracy, use:

📩 Using the approved meeting action plan above, draft a concise follow-up email to the attendees. Recap the decisions, action items, owners, deadlines, and immediate next steps. Do not add anything that wasn't in the approved action plan. Keep the tone clear, warm, and professional.

And just like that, your meeting doesn't end with a transcript sitting somewhere collecting dust. 😂
